Sugarloaf Residential Property Owners Association LLC
Privacy policy
Last updated November 2, 2026
This policy explains how Sugarloaf Residential Property Owners Association LLC (“the Association”), Duluth, Georgia, handles information on this website (vote.slccpoa.org) and in the emails and text messages it sends to property owners and residents.
Information we collect
- From the Association's owner records: owner names, property and mailing addresses, email addresses, and phone numbers that owners have given the Association or its management company.
- When you vote: the name you sign with, your candidate selections, your signature, the email address you choose for your receipt, and the date, time, IP address, and browser used.
- When you sign up for text alerts: your mobile number, your name if you give it, the consent wording you agreed to, and the date, time, IP address, and browser used.
- About messages: whether election emails and texts were delivered and opened, when your voting link was visited, any replies you send, and any request to stop texts.
How we use it
To run the Association's annual election: to send owners their personal voting link and reminders by email and text message; to record and count proxies; to send each voter a copy of their signed proxy; and to keep the record the Association needs to show the election was conducted properly. To send community notices by text to people who have agreed to receive them. And to answer questions owners send us.
Text messages
The Association texts people who have agreed to receive texts: owners who agreed when registering their owner account with the management company, and anyone who signs up on the text alerts page or by texting JOIN. Texts cover community notices and voting reminders. Message frequency varies. Message and data rates may apply. Reply STOP to stop texts at any time, or HELP for help. Full details are in the text message terms.
We do not share, sell, or provide your mobile phone number or text-messaging consent data to third parties or affiliates for marketing or promotional purposes. Text-messaging opt-in data and consent are not shared with any third parties, except the messaging provider that delivers the texts on our behalf.
Who we share it with
We do not sell personal information, and we do not share it with anyone for their own marketing. We share it only with the service providers that operate this election for us, solely to provide that service: the Association's management company, the website host, the email delivery provider, and the text-message provider. The election record (signed proxies and results) is made available to the Association's Board and officers as the governing documents and Georgia law require. We may disclose information if required by law.
How long we keep it
As long as needed to run the election and as required for the Association's records. Signed proxies are kept with the records of the annual meeting.
